West Morris Central Boys’ Soccer -    Minutes of Parents’ Club Meeting held August 21, 2007

 Attendees: Chris Goodyear, Connie Stoll, Debbie Cholish, Pat Guarini, Nan Guarini, Cameron Esemplare, Barb Kaplan, Renee Weinstein, Mike Drzewinski

 The meeting was called to order by Chris Goodyear at 7:37 pm .

 Connie Stoll motioned to approve the minutes of the July 24, 2007, meeting; Renee Weinstein seconded the motion.

 President’s Report:

 The Kick-Off Picnic (Friday, August 31, 2007 ) will be the main focus of this meeting.

 Membership:  The class representatives are checking the latest roster of players to make corrections, additions or subtractions.  Connie Stoll will update the roster and make a final copy.

 Coach Ferreri:  We do not have any new “Coach requests” at this time.  At the end of last year, Coach Ferreri said he wanted the opportunity to come to a parents’ club meeting, so we are extending an open invite to him to come to our meeting in September or to any one of our future meetings.

 Treasurer’s Report:  There is no new Treasurer’s Report.  The only check written was to pay for the new uniforms, which with logos, numbers, etc., came to about $3,500.  The Treasurer’s Report will be updated at the next meeting.

 Committee Reports:

Concession:  We have a night game on Tuesday, September 18.  We are cleared for a concession stand.  We do still need a food handler’s license.  It would be a good idea for a freshman parent to consider obtaining one so that the club could benefit for the next few years.  The parents’ club would pay the cost for someone to attend whatever classes necessary to obtain a food handler’s license.

Clothing:  All summer orders have been filled and handed out to the class representatives.  The game-day polo shirts will be given out with the membership packets at the kick-off picnic to the freshmen who paid the $75 membership fee to include the shirt.  There are 26 shirts in inventory to cover the freshmen.  Pat Guarini has ordered another dozen shirts.  They will take about two weeks after clothing orders are placed after the picnic.

The new uniforms have come in.  The logos and numbers and school name are on them.  The new varsity uniforms are all set.

Banquet:  The date of the banquet is Sunday, December 2, 2007, at the Wyndham Garden Hotel.  Suzanne Goodyear and Nan Guarini have already started putting together a task list.

Car Wash:  The car wash is set for Sunday, September 16.  We will check with the girls’ club to see who they have heading it.  Tony Germinario has a power washer and we have bags of towels.

Kick-Off Picnic:

The class representatives met on Tuesday, July 31, to do some preliminary planning for the picnic.  A “picnic flyer” was sent out in the summer mailing.  Due to a restricted budget, the decision was made to do a Pot Luck with the freshmen supplying the main dishes, since they have the largest number of players.  The parents’ club will provide the drinks (water, Gatorade, some soda), paper products, etc.

If we need additional food, we can order from Valley Restaurant.  In order to keep on top of this, the class representatives will e-mail Connie Stoll by Tuesday, August 28, with the responses they’ve received so that we will know ahead of time if we will need to order from Valley Restaurant.

The picnic will begin at 6:00 pm .  The set-up time will be 5:00 pm .  All helpers should be there by 5:00 pm .  The cafeteria worker will be there from 5:00 to 9:00 pm .  At $l5.00/hour, we will pay the cafeteria worker $60.00 plus a $20.00 tip.  This will be paid in cash.

We want to make sure the dishes brought to the picnic are completely cooked and are in disposable containers.  (Anything not disposable should have a name label on it.)   We will use the warming oven to keep dishes hot.

Invitations to the coaches and other guests have been sent out.

Connie Stoll briefly went over the agenda for the picnic and the set up of the tables.

 The “membership table” will have pre-labeled membership folders for those who have already sent in their membership forms and checks, as well as folders prepared and ready for people who sign up and pay that night.  Connie will meet with Suzanne Goodyear to clarify the membership payments she has received so far and to coordinate with her the freshmen who are entitled to the polo shirts with their membership.

 Pat and Nan Guarini will have a “clothing table” with samples of the clothing and order forms.

Cameron Esemplare will have a “sub-sandwich table” with information and order forms.

There will also be sign-up sheets for Pasta Parties.

The Senior parents will decorate the Senior area.

Old Business:

Away-Game Sub Sandwiches:  We all agree that this is a good idea.  We will order the sandwiches from Phil’s.  We will keep the choices simple.  Each boy will get a sandwich, a drink, and a bag of chips.  Cameron Esemplare has agreed to organize us in getting going with this.  There will be sign-up sheets at the picnic.  We have to get the word out about this so that everyone is prepared to sign up.  (Note:  Next year’s summer mailing should include a sub-sandwich sign-up form.)  We have nine away games, including Roxbury and Randolph.  It would be a good idea to get a representative from each team to handle whatever details necessary to help this run smoothly for each team.

New Business:

Future Meetings:  We have set definite dates for our future monthly meetings.  They are as follows:  Tuesday, September ll, 2007; Tuesday, October l6, 2007; and Tuesday, November 13, 2007 .  These meetings will be held at the High School.  We will send a mass e-mail three or four days prior to the meeting date to remind everyone.  It would also be a good idea to put a list of these meeting dates in the membership folders.

Connie Stoll motioned to adjourn the meeting.  Nan Guarini seconded the motion.  The meeting was adjourned at 8:56 pm .
